Allowing new members to vote on pre-existing group ballots

A feature is available to automatically add new voters to a ballot. You can select this configuration option when adding a new ballot or editing an existing ballot.

When adding a new ballot: The configuration option in question exists on the Add Ballot page.

When editing an existing ballot: The option also exists on the Modify Ballot page.
(Click the Modify link when displaying an already existing ballot.)

Automatically Manage Voters
Members may join (or leave) the group after this ballot opens. Should these members automatically be added (or removed) as eligible voters for this ballot? If you choose this option, the eligible voter list will be updated nightly until the ballot closes.
- Yes, automatically manage the voter list for this ballot.
- No, do not automatically manage the voter list for this ballot.

What it does

Selecting "Yes, automatically manage the voter list for this ballot" does two things:

  1. Adds eligible voters: If you add a new member to the group, that person is added to the list of eligible voters for this pre-existing ballot. If there are eligible voters (based on the group settings) who are already members of the group but who aren't listed as eligible for this ballot, it adds them.

  2. Removes ineligible voters: If a group member becomes ineligible to vote before this ballot closes, that person is removed from the list of eligible voters.
    Note: The script will not remove voters that a chair has manually added.

Note: The changes don't take effect immediately. The role checker runs once a day (in the middle of the night in North America). If you add a new member today, that person will be able to vote tomorrow on the pre-existing ballot.
